What is VeriFactu and How Will It Affect Your Workflow in Quipu?

VeriFactu is a new system launched by the Spanish Tax Agency (Agencia Tributaria) to fight tax fraud and promote digitalization and automation in business taxation. If you use any software to issue invoices, this new regulation directly impacts you.

Let’s break it down simply — and show you how Quipu is already helping you stay compliant.

Who is Affected by VeriFactu?

VeriFactu will apply to all taxpayers with economic activity, whether they pay taxes under IRPF (personal income tax) or Impuesto sobre Sociedades (corporate tax).

If you run a business or are self-employed and use software for invoicing, this concerns you.

When Does VeriFactu Come into Force?

According to Royal Decree 254/2025 (April 1st, 2025), these are the key dates:

  • January 1, 2026 – Mandatory for companies under corporate tax.
  • July 1, 2026 – Mandatory for all other businesses and self-employed professionals.

What’s Changing in Quipu?

As of June 4, 2025, Quipu has taken an important step to align with VeriFactu regulations — every invoice (standard, simplified, or corrective) now starts in draft mode.

Only when you mark the invoice as final, it will:

  • Be assigned a number and issue date.
  • Be locked for edits (except for payment and category details).
  • Be included in reports and tax returns.

What This Means for You

  • Your invoices are error-free and compliant from the start.
  • You’re already working under VeriFactu standards, well before the 2026 deadline.
  • You can safely review, edit, or delete a draft invoice before finalizing it.

📝 Two Invoice Stages in Quipu

🟡 DRAFT Stage:

  • No number or date yet.
  • Fully editable or deletable.
  • PDF preview available (without final data).
  • Not counted for reports, taxes, or accounting.

🟢 FINAL Stage:

  • Quipu assigns number and date automatically.
  • Critical fields are locked.
  • Only payment and category fields remain editable.
  • Included in your tax reports and accounting.

Once an invoice is final, any corrections must be made through a corrective invoice.

You can move an invoice from draft to final at any time.

Although VeriFactu won’t be mandatory until January 2026, getting used to this new workflow now will make the transition smooth and stress-free.
